Job Description

CONTEXT
The Facility Department is responsible for ensuring suitable accommodations for operational units and supporting general facility-related business processes professionally.

The Senior Facility Officer serves as the main point of contact for all employees with questions about office-related matters. They ensure a pleasant and safe atmosphere, handle minor repairs, and maintain cleanliness in and around the office buildings. Additionally, they welcome guests, perform administrative duties, and act as the Facility Manager's replacement when necessary, including being part of the on-call service.

Job Description

POSITION IN THE ORGANIZATION
The Senior Facility Officer reports directly to the Facility Manager and has a dotted reporting line to the local Site Director.

JOB OBJECTIVE
The Senior Facility Officer is accountable for the maintenance and presentation of office locations, ensuring that employees and guests feel welcomed. They oversee timely and accurate handling of administrative tasks and partially assume the Facility Manager's responsibilities during their absence.

The role requires a high level of technical competency. The Senior Facility Officer must have knowledge of and experience in:

Electrical systems
HVAC (heating, ventilation, and air conditioning)
Plumbing
Electronic security systems
Workplace safety
EXPECTED RESULTS
The Senior Facility Officer is responsible for achieving the following:

Hospitality: Ensuring a welcoming environment for employees and visitors.
Building Maintenance: Conducting corrective, preventative, and predictive maintenance of properties and technical systems.
Inventory Management and Procurement: Organizing and managing facility-related inventory and materials effectively, following procurement processes, and ensuring ERP system proficiency.
Administrative Work: Supporting administrative and organizational processes to ensure efficiency and timely follow-up on tasks.
Safety:
Organizing and overseeing BHV (emergency response team) activities and fire drills.
Ensuring the building is certified and complies with all local and corporate rules and regulations.
Proactively identifying and addressing potential hazards to maintain a safe environment.
Vendor Relations: Managing vendor relationships effectively, ensuring the quality of their services, and identifying areas for improvement.
