Job Description

he Associate Facilities is responsible for coordination and administration of the Access Control System and physical security policies and procedures for multiple locations. This position recommends project placement and migration plans that are consistent with internal customer needs, corporate goals, and real estate objectives. Work with internal groups to create project space plans.

Essential Functions/Core Responsibilities  

• Interface with internal stakeholders to determine project space requirements

    

• Managing the site receptionists day to day activities, covering absence where required

    

• Ensuring receptionists follow routine tasks and adhere to policies and process.

    

• Coordinate with internal groups and outside vendors to schedule installations, maintenance activities, and repairs based on material availability and minimal impact to the business operations

    

• Manage scheduled installations by internal and external contractors during reconfiguration to avoid delayed timeframes and cost over-runs

    

• Gather quotes from outside vendors for building fixtures; generate cost comparisons with our vendors to evaluate each project and total cost saving potential

    

• Monitor day-to-day site operations of long-term third party contractors to ensure performance meets vendor service level agreement

    

• Coordinate with Procurement in gathering quotes from outside vendors for building fixtures, repairs, maintenance, and upkeep to evaluate each project and total cost saving potential

    

• Log, track, and submit vendor invoices for payment

• Related facilities experience
 

• Strong communication skills, both written and verbal

    

• Demonstrated ability to multi-task and meet timelines on deliverables

    

• Self-starter, sense of urgency, and works well under pressure

    

• Strong attention to detail

    

• Proficient in Microsoft Office
