Job Description

Essential Functions/Core Responsibilities
• Execute delivery of facility services, including house and building services, interior and exterior maintenance, safety and security
• Review current facilities best practices and trends to facilitate effective delivery of facilities services
• Assist with implementing facility operations processes defined by regional and/or senior facilities leadership
• Monitor site-specific facility operations standards and processes (e.g., emergency procedures, facility initiatives and security standards and processes) as necessary
• Work with internal customers to identify and address emerging facility requirements and issues (e.g., scheduling janitorial services to minimize disruption of customers' work activities)
• Maintain vendor relationships to facilitate delivery of outsourced services and ensure fulfillment of terms of vendor agreements and contracts
• Supervise personnel in maintaining and supporting relationships with customers and vendors
• Act as a point of contact for internal and community-based organizations for special events
• Adhere to annual budget by monitoring expenses and implementing corrective action plans
• Interface with internal clients to determine project space requirements
• Verify floor plans with CAD technician to include details related to structural and civil engineering as well as mechanical and electrical systems
• Ensure reconfiguration design meets federal, state, and local health and safety guidelines
• Coordinate with internal groups and outside vendors to schedule installations, maintenance activities, and repairs based on material availability and minimal impact to the business operations
• Manage scheduled installations by internal and external contractors during reconfiguration to avoid delayed timeframes and cost over-runs
• Gather quotes from outside vendors for building fixtures; generate cost comparisons with our vendors to evaluate each project and total cost saving potential
• Monitor day-to-day site operations of long-term third party contractors to ensure performance meets vendor service level agreement
• Coordinate with Procurement in gathering quotes from outside vendors for building fixtures, repairs, maintenance, and upkeep to evaluate each project and total cost saving potential
• Log, track, and submit vendor invoices for payment
Manage control and apply the physical security standards of the company and perform tasks related to CCTV and Access control e.g. monitoring, access cards issuance/cancelation, escort visitors, etc.


Candidate Profile
• Previous experience in the Facilities Management field would be considered as an advantage
Good knowledge in building management systems, electrical works, UPS units, HVAC, etc.
• Excellent communication skills, both written and verbal. Ability to effectively present information to internal and external associates (English and Polish)
• Proven ability to organize and prioritize projects in a fast-paced and deadline-oriented business environment
• Demonstrated ability to take initiative and ownership with focus on continuous improvement
• Strong customer service disposition and sense of professionalism
• Solid understanding of the organization's business operations and industry. Demonstrated business acumen.
• Microsoft Office skills
• Fluency in both English (B2 or above) and Polish (C2)

• Driving license is considered an advantage
