Executive Support - spearheading client and executive visit, janitorial services monitoring, helpdesk and supplies monitoring and inventory. Purchase supplies. Coordinate with vendors. Create and improve processes. Non-IT asset management.He/she supports client visits
· Coordination with program host
· Create welcome note
· Process client food, diet and restrictions
· Name and food labels
· Transportation
· Coordination with landlord for client visit requirement
· Ensure wifi access printed together with client badge
· Ensure client badge are working to common area and host program
· Ensure standard food set up
· Attend to all concerns pertaining to client visit
· Inventory and audit of all consumables and non consumables used during client visit
· Implement cross charging to host programs
Monitor and supervise housekeeping
Ensure distribution and implementation tasks
Monitor and evaluate 3rd party manpower timekeeping and performance
Closely coordinate with 3rd party vendor for manpower request, replacement and reliever
Evaluate DTR and invoices for services
Helpdesk/Solvnow Monitoring
Ensure that ticket raised is acknowledged and resolved in a timely manner
Ensure that requesters are actively participating to CSAT survey and DSAT are acted to and corrected (if necessary)
ESAT/Pantry
Spearhead pantry management
i. Coordinate and evaluate concessionaires
ii. Monitoring menu and quality of food being offered
iii. Actively engage with food committee POCs thru FGD
iv. Ensure compliance to health and safety per local government requirement
Execution of pantry initiatives
i. Ensure weekly menu plan from concessionaire is submitted
ii. Publish comms for monthly pantry hype and promotions
iii. Submit scorecards from auditors
iv. Ensure PWD and other discounts are being honored
Audit Compliance
Ensure that site is always audit/visit ready
i. Conduct daily site walkthrough
ii. Send out walkthrough findings for repair, replacement, repaint, etc.
iii. Monitor completion of job orders sent to housekeeping and technicians in a timely manner
Updated audit packet
i. All certifications and document for audit are kept in a folder sorted per type of audit i.e. DOLE audit, LGU audit, PEZA audit, TPRM Audit
ii. Safekeep all manpower document
Supplies management and monitoring
Monitor consumption per supplies including inventory
Forecast number of requests per quarter based on consumption monitoring
Keep a tracker for PO, DR and invoices
Sourcing of quotation from different vendors
Ensure that budget vs spent is met for supplies
Locker Management
Locker deployment/Replacement
Locker verification
Locker Retrieval
Locker Maintenance
Publish comms reminder for:
Locker policy
Bay Decoration
Pantry escalation hotline
Pantry initiatives (Hype, Menu and updates)
Landlord Memo
Holiday Memo
Pest Control
Clearance
Verify, clear and monitor leavers from any accountability under Facility Management
